Synrgy Fitness ("we", "us", "our") operates synrgy.fitness and the associated Instagram
account(s) used to promote our personal training and online coaching services in Bangkok.
This policy explains what personal data we collect, why, and how you can control it.
1. Data we collect
Through our website
When you use the contact form, questionnaire, or calculator tools on this site, we
collect the information you submit directly — such as your name, email address, and
answers about your fitness goals — in order to respond to your enquiry or provide the
result you requested.
Through Instagram (automated replies)
We run an automation system on our Instagram account that watches for specific keywords
in comments on chosen posts and in direct messages. When you comment or message one of
these keywords to us, we receive and store:
- Your Instagram-scoped user ID and, where available, your username;
- The text of the comment or message that triggered the automation;
- The date/time of the interaction and which keyword/post it matched;
- Records of the automated reply we sent, and whether you subsequently clicked a link
or downloaded a file we sent you (including the IP address and browser user-agent
used for that click, for fraud/abuse prevention);
We only receive this data because Instagram's platform delivers it to connected
third-party apps like ours when you interact with a monitored post or send us a message —
we do not access any other data from your Instagram account, and we cannot see your
private profile information beyond what Instagram includes in that interaction (typically
your user ID and username).
2. Why we collect it
We use this data to:
- Send you the automated reply, resource, or file you asked for;
- Understand which posts and keywords generate interest in our coaching services;
- Follow up with people who have expressed interest in becoming a coaching client;
- Prevent abuse of our automated systems and tracked links.
3. Where it's stored
All data is stored in our own private database, hosted on our web server. We do not
sell or rent your data to third parties. We share data with the following processors
only as needed to operate the services described above:
- Meta / Instagram — the platform through which comment and message
data is delivered to us, and through which our replies are sent;
- Mailchimp — for managing our marketing email list, if you
subscribe via our contact form;
- Mailgun — for sending transactional emails from this site;
- Google reCAPTCHA — for spam prevention on our contact form.
4. How long we keep it
We keep Instagram engagement records for as long as reasonably useful for the coaching
follow-up purposes described above, or until you request deletion (see below). Internal
system logs are automatically deleted after 60 days.
5. Your rights
You can ask us to access, correct, or delete the personal data we hold about you at any
time. See our Data Deletion Instructions page
for how to do this. You can also stop future automated replies at any time by simply not
commenting or messaging our monitored keywords, or by blocking our account on Instagram.
